The listed pay range is the starting salary for the position.

Under the direction of the Chief Operating Officer, the Events Coordinator will plan, organize, and executive a variety of events ranging from corporate meetings and conferences to social gatherings and promotional events.

Your key responsibilities include:

1. Event Planning and Execution:

  • Plan, organize, and execute all logistical aspects of events, including venue selection, catering, audiovisual needs, transportation, and décor.
  • Ensure that events run smoothly and troubleshoot any issues that may arise.

2. Client Communication:

  • Serve as the primary point of contact for clients, understanding their event needs and goals.
  • Communicate regularly with clients to provide updates, gather feedback, and ensure satisfaction.

3. Vendor Management:

  • Source and negotiate contracts with vendors, including caterers, florists, audiovisual technicians, and transportation services.
  • Oversee vendor relationships and manage day-of coordination with all involved parties.

4. Budget Management:

  • Develop and manage event budgets, ensuring cost-effectiveness and adherence to financial constraints.
  • Track expenses and provide regular budget updates to clients and management.

5. Marketing and Promotion:

  • Assist in the development of promotional material for events.
  • Collaborate with the marketing team to create and implement strategies to attract attendees.

6. On-Site Coordination:

  • Be present on-site during events to oversee set-up, execution, and breakdown.
  • Manage staff and volunteers to ensure seamless event operations.

7. Post-Event Evaluation:

  • Conduct post-event evaluations to assess the success of each event.
  • Gather feedback from clients, attendees, and vendors to identify areas for improvement.

To thrive in this role, you’ll need:

  • Bachelor’s degree in event management, hospitality, or related field
  • Proven experience in event planning and coordination.
  • Excellent organizational skills and high attention to details.
  • Must have proactive approach and be able to prioritize and effectively anticipate needs.
  • Effective communication and people skills.
  • Ability to work under pressure, meet tight deadlines, and problem solve.
  • Creativity and innovation in event design and execution.
  • Familiarity with event management software a plus.
  • Ability to travel within the state or elsewhere.
  • Proficiency in writing and ability to make presentations before professional and non-professional audiences.

Pay: $49,737.00 – $62,154.00 per year
