Florida Farm Bureau Federation is currently seeking an Administrative Assistant to provide critical administrative support to Field Services leadership and to the overall achievement of programs.

The listed pay range is the starting salary for the position.

The Administrative Assistant works closely with the Director of Field Services, Membership Acquisition Manager and the Leadership Programs Coordinator to provide efficient operations of the office. The Field Services team members are high achievers with a genuine love for people and seek to consistently improve personally and professionally. Members of the Field Services team are expected to exhibit uncompromising integrity, an unyielding work ethic, and a positive attitude. The Administrative Assistant must possess a high degree of professionalism while contributing to the overall cooperative team dynamic.

Your key responsibilities include:

  • Provide administrative support to ensure efficient operation of office.
  • Answer phone calls, schedule meetings and support visitors.
  • Perform administrative duties such as filing, typing, copying, binding, scanning etc.
  • Complete job requirement by scheduling and prioritizing projects and expediting work results.
  • Provide members and staff with unconditional support and assistance as needed.
  • Make travel arrangements for staff such as booking flights, cars, and hotel or restaurant reservations.
  • Exhibit polite and professional communication via phone, e-mail, and mail.
  • Support team by performing tasks through strong organizational and communication skills.
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  • Provide information by answering questions and requests.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Contribute to overall team efforts by accomplishing related tasks as needed.
  • Assist county staff and members with technical support and online services related to membership as needed.
  • Perform exceptional customer service to members across the state via phone and email, answering questions related to their membership and member benefits.
  • Assist in developing and reviewing training and support plans for membership.
  • Assist staff with special projects, meetings, and conferences, creating flyers, brochures, programs, and presentations.
  • Schedule appointments and maintains director’s calendar as needed.

To thrive in this role, you’ll need:

  • High school diploma.
  • Three to five years of related experience; or equivalent education.
  • Knowledge of applicable software including Microsoft Office, Adobe Acrobat, Formstack, and event planning software.
  • Must be highly organized with ability to prioritize workload and manage and executive multiple tasks.
  • Ability to communicate effectively with a variety of audiences. Ability to communicate in proficient conversational Spanish preferred.
  • Ability to solve practical problems and interpret a variety of instructions and information.
  • Must be proactive and possess a high degree of emotional intelligence.

Physical demands of this role include:

  • Working in the State Federation Office located in Gainesville.
  • Working in an open office environment.
  • Sitting, talking, and/or hearing for extended periods of time.
  • May be required to aid and assist in setting up meetings, moving tables, plants and other materials moving weights up to 20-30 lbs.
  • May be required to drive a truck or van.

Pay: $17.72 – $21.27 per hour
