County Administrator

Lake County Farm Bureau Federation is a non-profit membership-based organization that works toward the betterment of those engaged in agriculture through political advocacy, community outreach, and agricultural education.  We provide an array of member benefits to both farmer members and non-farmer members. We are in search of a County Administrator who would be responsible for managing the day to day business of the organization, working alongside the Board of Directors to institute board directives, and having frequent contact with our members by handling inquiries and concerns with speed and professionalism. This is a part time position working approximately 15-25 hours per week.

The candidate will interact with the board regularly and with members in person/telephone/ email, arrange monthly board meetings, manage the bookkeeping for the organization, handle general office responsibilities, oversee and coordinate the building maintenance, coordinate vendors for our annual events, and assist in our annual outreach programs. The candidate must be able to function in a fast-paced environment, multitask, be well organized, an excellent communicator, and be a team player with a positive attitude.

DESCRIPTION OF ESSENTIAL DUTIES:

Bookkeeping- Utilize QuickBooks Online for the following:

  • Pay monthly bills
  • reconcile checking, money market & investment accounts
  • prepare monthly 941 (labor tax)
  • monthly sales tax and quarterly unemployment
  • complete yearly tax survey form (July)
  • prepare end of year documents (W2s, 1099s)
  • Tenant Invoicing/ Rental Income processing

Monthly Board meetings (2nd Wednesday each month)

  • Send notice and confirm attendees via email, text, and telephone
  • Send notice and confirm attendees for sub-committees via email, text, and telephone
  • Prepare agenda and meeting information packets (Budget Reports, Previous minutes, Solicitations, etc.) prior to each meeting
  • Take minutes on the day of the meeting and transcribe to digital form for approval by the Board.
  • Order lunch and set up prior to board or committee meetings.

Assist Board in Work –

  • Youth programs that include yearly scholarship, speech contest, and booth participation at the fair.
  • Periodically preparing and reserving travel arrangements for Board members on Federation business (Hotels, Flights, Etc.)
  • Coordinating vendors and assist in the planning and execution of our Annual Membership Meeting (Typical attendance around 350+ people)
  • Coordinating vendors and assist in the planning and execution of our Active Member Event (Typical attendance around 75+ people)
  • Perform necessary documentation and clerical work associated with FFBF programs such as the County Recognition Program (CRP) and the Member Benefits Incentive Award program.
  • Oversee social media platforms
  • Contacting select farmer members regarding membership, renewals, and satisfaction surveys

OTHER RESPONSIBILITIES/REQUIREMENTS

  • Maintain vendor relations for building maintenance services (HVAC, Lift Station, Internet, Landscape Maint., Etc.)
  • Other administrative duties as assigned

QUALIFICATION, EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School diploma
  • Ability to pass a background test.
  • Must possess a valid Florida driver’s license.
  • QuickBooks online experience preferred.
  • Experience working in Non-Profit Sector preferred.
  • Ability to handle confidential information, accuracy, and attention to detail.
  • Ability to relate to and work with various people in a professional manner.
  • Must be able to read, analyze, and interpret instructions, manuals, and other documents as required.
  • A strong ability to remain organized, exercise proper time management, coordinate projects and events, handle multiple tasks simultaneously, and operate well under external and self-structure.
  • Ability to work alongside a volunteer board, comprising approximately 15 members, in a professional and efficient manner.
  • Ability to communicate effectively through verbal and electronic means.
  • Experienced in Excel, QuickBooks, Power point, Outlook, Google Suite, Facebook
